Full Booking Terms and Conditions

Terms of Use for Retreats

Please review these terms in detail, as by buying our travel services; you are bound by the terms outlined in this agreemen

REFUNDS & CANCELLATIONS

We offer a full refund for 24 hours following the submission of your initial deposit. After 24 hours have expired, your trip deposit and all future payments are NON-REFUNDABLE. Therefore, we strongly recommend that you purchase comprehensive travel insurance. It is essential to request coverage that allows you to "Cancel for Any Reason," as this will cover your non-refundable trip.

PAYMENT PLANS

We are happy to offer payment plan options for all of our trips. Monthly payments begin the month following your initial booking, on the 1st of each month, until paid in full. The minimum amount due, as specified during booking, is required each month via a checking account, debit, or credit card. You may contact us to change your payment date within 48 hours after booking. You will receive a courtesy reminder about your upcoming payment, but you are responsible for submitting and ensuring your payment is successful. If you fail to submit an on-time payment, we will charge you a late fee of 30 USD.

MISSED PAYMENTS

After one missed monthly payment, your trip is subject to cancellation. If canceled, you will be notified via your email. You may reinstate your trip within three calendar days of cancellation by paying the full trip-due amount.

FINAL PAYMENT DATE

Trips must be paid in full by the final payment date, as noted during booking. We will place a penalty fee of $100 on your account if we have not received your full trip payment by three business days after this date. After five business days of failing to make your final payment, Neon Soul Yoga reserves the right to cancel your trip.

ROOMMATE POLICY

If you book a double, triple, or quad occupancy category for your trip as a single participant without a roommate, we will pair you with another person(s) who does not have a roommate. If you prefer not to share accommodations during one of our retreats, you may pay a single supplement fee. Please inquire for more information about this option.

HEALTH & WELLNESS POLICY

By booking a trip with Neon Soul Yoga, you confirm that, except as disclosed in your medical questionnaire, you are in good health and physically capable of participating in all aspects of the trip. You further confirm that you are not aware of any medical or physical conditions that would:

  1. Prevent you from fully participating in the trip, or

  2. Put you at risk of illness or injury during the trip, considering the nature and purpose of the experience.

If you are unable to make this confirmation or have any medical conditions, disabilities, or concerns that may affect your ability to participate in the trip, you must contact us before booking. This will allow us to help assess the suitability of the trip for your needs.

Please note that all trips require the ability to walk at least 5 miles per day independently. We recommend consulting with your physician to ensure you are fit for travel and the planned activities. Neon Soul Yoga does not provide medical advice.

REQUIRED TRAVEL MEDICAL INSURANCE

All retreat participants are required to purchase a travel medical insurance policy that includes 1- Emergency Medical Coverage, 2- Emergency Medical Evacuation, and 3- Repatriation of their remains. You must provide proof of your policy from your insurance provider no later than fourteen days before the retreat start date.

TRIP CANCELLATION POLICY

In the unlikely event that we need to cancel a retreat due to reasons beyond our control—such as acts of God, government actions, strikes, or severe weather—we will reschedule the retreat. If you are unable to attend the new dates, we will offer refunds based on the original booking date and as we are able to fill your spot. However, please note that we cannot guarantee a refund. We recommend that you secure travel insurance, which should cover such unforeseen circumstances.

If we need to make significant changes or cancel for any other reason, we will provide reasonable compensation where appropriate based on the specific situation. Refunds will not be offered beyond the conditions mentioned above.

We will not be liable for cancellations or changes resulting from:

  1. Unusual and unforeseeable circumstances beyond our control, such as force majeure.

  2. Consequences that could not have been avoided even with reasonable care.

  3. Cancellation due to not reaching the minimum number of bookings required to operate the retreat.

Thank you for your understanding, and we are committed to ensuring the best experience possible in all situations.

NON-COMPETE & CONFIDENTIALITY

By participating in Neon Soul Yoga's Passport to Purpose retreat, you agree not to directly or indirectly engage in activities that compete with the business interests of Neon Soul Yoga. This includes, but is not limited to, attempting to hire, solicit, or engage any of Neon Soul Yoga's staff, instructors, or facilitators for personal, business, or third-party purposes.

Participants further agree not to replicate, reproduce, distribute, or use any techniques, proprietary programs, or materials presented during the retreat for personal gain, business purposes, or to offer similar services to third parties.

This commitment to non-competition and confidentiality will extend indefinitely for the duration of Neon Soul Yoga's business operations. We appreciate your respect for our unique offerings and intellectual property.

MEDIA RELEASE

Throughout Neon Soul Yoga’s Passport to Purpose retreats, photographs and video recordings may be taken to capture the essence of the experience, and these may be shared with participants following the event. By attending this retreat or any related activities, you give Neon Soul Yoga, along with its representatives and staff, permission to use any photos, videos, and testimonials involving you during the event. Please note, Neon Soul Yoga will not disclose your full name in any online or printed materials unless you provide specific, written consent.

I hereby grant Neon Soul Yoga full and irrevocable authorization to use images or video footage featuring myself and/or my property. Additionally, I allow Neon Soul Yoga and its designated parties, including assignees, licensees, and legal representatives, to publish and distribute (with or without my name) these photos, videos, or images in any medium. This includes all forms of media, such as digital, print, or online platforms, and may involve edited, composite, or modified versions for purposes including but not limited to advertising, marketing, or promotional use.

By agreeing to this release, I waive any right to review, approve, or object to the use of the images, any associated captions, or the final content. I confirm that I am of legal age and fully understand the terms of this release.
